Room Booking

Show room, desk and car availability on your devices and let people book with a QR code.

Booking turns a TRMNL into a room sign, showing whether a room, desk, car or other shared resource is free and letting people book it by scanning a QR code on the screen. Your calendar stays the source of truth the whole time.

Booking is an app rather than a plugin, which means you install it once and then put as many rooms on your devices as you like.

Prerequisites

  • A Google or Microsoft account, or an iCal feed URL

  • A TRMNL, a BYOD device, or a free virtual device if you'd like to try it first

Step 1 - Install Booking

Head over to Apps and click Install next to Booking, and we'll drop you on the Integrations page where the setup starts.

Step 2 - Connect a calendar

Pick the card that matches where your rooms live:

Booking integrations

  • Google Account covers your personal calendars, including any meeting rooms you subscribe to. Click Add account.

  • Google Workspace covers company meeting rooms and resources. Click Add company.

  • Microsoft Outlook covers your personal calendars. Click Add account.

  • Microsoft Exchange covers Exchange Online rooms and Microsoft Places workspaces. Click Add company.

  • iCal works with any .ics feed URL. Click Add calendar and paste the iCal URL, keeping in mind that iCal shows the schedule but can't take a booking.

Sign in and approve access when asked. Workspace and Exchange usually need an administrator to sign off, so if that's not you, our Google Workspace and Microsoft Exchange admin guides are the ones to forward along.

Step 3 - Choose which calendars sync

After you connect Google or Microsoft, TRMNL opens Synchronized Calendars with every calendar ticked. Clear anything you don't want on a screen, such as private calendars, then click Save changes.

This is the step people miss most often, because calendars that appear later (like a room your admin adds next month) arrive unticked. To add one, open Integrations, click Edit on the account, tick it and save.

Step 4 - Put a room on a device

  • Open Calendars and select the room.

  • Optionally, click Edit Calendar and set an Override name such as "3F Boardroom", so it reads well from the hallway.

  • In the Displays card, choose a device and click Add to device.

The first time you do this, TRMNL asks you to start a subscription (more on that under Pricing below).

The room becomes one item in that device's playlist, so for a sign by the door you'll want to remove the other playlist items and give the room the whole screen.

Showing it on a TV or tablet instead? Choose Other (via URL) and open the link in a browser.

Step 5 - Let people book from the screen

Booking from the screen takes two switches, one for your whole account and one for each room:

  • Open Settings, turn on Allow booking on the spot and click Save changes.

  • Open the room, click Edit Calendar, turn on Show booking QR code and click Save changes.

A QR code then appears in the corner of the screen, and anyone who scans it can book 15 min, 30 min or 1 hour, or tap More to pick a time and title. No account needed. The booking lands in your calendar as "Occupied" unless they give it a title.

Step 6 - Show several rooms on one screen

A collection puts rooms, desks or cars on one display as a list or a grid. Open Collections, click Create Collection, tick the resources you want and save, then add it to a device from its Displays card like you would a single room.

There's only so much room on an ePaper screen, so a list shows the first 10 resources, while a grid shows the first 9 (or 4 in a mashup).

Step 7 - You're done!

TRMNL redraws each room every five minutes, and your device picks up the change at its own refresh rate, which is why a busy room's sign works best plugged in.

To cancel a booking made through TRMNL, open the room and click Cancel, or End once it has started. Any other meetings get changed in your calendar, same as always.

Settings and your logo

Everything in Settings applies to every room:

  • Show Company Branding adds your logo to screens and the booking page. Upload a monochrome logo first, then an optional color one, as a PNG, JPG or SVG up to 2 MB.

  • Bookable Until sets how far ahead people can book, choosing from 1 day, 2 days, 1 week or 1 month. The default is 1 week.

  • Show Calendar shows upcoming bookings on the booking page.

  • QR Code Security changes the booking link every day, so a photo of the code stops working. Heads up that it breaks printed codes too.

  • Dark Mode, Time Zone and Time Format set how screens look and which clock they use.

Pricing

Booking costs $8 a month or $80 a year for each resource on a screen, after a 14-day free trial, and you add a card at checkout. We only count what's actually on display, so a room on three screens counts once, a room in a collection counts once too, and a room that isn't on any device costs nothing.

Troubleshooting

A room is missing from Calendars - It isn't ticked under Synchronized Calendars yet. Open Integrations, click Edit on the account, tick it and save.

No QR code on the screen - Both Allow booking on the spot and the room's Show booking QR code need to be on. iCal calendars never get one, and a Google calendar marked Read only needs an account that can change its events.

A printed QR code stopped working overnight - That's QR Code Security doing its job. Print a new code, or turn it off if you rely on printed codes.

The screen says Subscription needed - Either checkout isn't finished, your payment didn't go through, or the subscription ended. Open Billing in Booking and add a payment method.

Times are off by a few hours - Check Time Zone on the room page, then Time Zone in Settings, since a time zone set there overrides every calendar's own.

The schedule looks out of date - Open the room, which fetches it again and shows Last synced along with any sync error. After 10 failed tries in a row, background syncing stops and we send you an email, so fix the connection and then open the room again.
